Can we “reserve spots” for the week that our church has chosen, if we are uncertain who can come?
Reservations are only made when the registration forms are submitted along with the registration fee. Southland must have the information on the form (names, ages, genders etc.) to save you those spots. This is to prevent extreme under or over booking on our side. Dual weeks tend to fill up more quickly, so we recommend early registration to secure your week of choice.
If someone in our group drops out, can we apply their registration fee to a new person?
No, the registration fee is non-refundable and non-transferable to another individual. Any new person simply fills out their own form and pays their own fee.
Can we mail in or email our forms?
To improve efficiency, order, and accuracy, all registrations must now be completed through our online system. We no longer accept mailed or emailed forms.Youth pastors and leaders are encouraged to send the registration link to their youth groups so that each person may fill out their individual form. This is necessary to obtain medical/emergency information and signature of agreement.
One of our campers needs to leave early. What do we need to do?
In order to leave early, the camper must receive permission through the office. If approved, the sponsor or parent must sign a waiver and/or give proof of identification.
How late can we register?
The official deadline is two weeks before the Monday of your camp week. You may still register after that point, space permitting, but there is a $25 late fee per person. No new registrations may be made on the first day of camp.
How do I pay the remaining balance for my child?
Any remaining payments should be given to your youth pastor or group leader. The church will collect all payments and pay the entire balance at check-in. Due to high volumes of calls and registrations, we typically cannot take payments over the phone.
We should have the early bird discount; how much do I still owe?
The early bird discount is $25 off and will be applied to your balance at check-in.
Can a child or teen with special needs come to camp?
Please call the office for specific situations, however, generally the child must be able to function primarily on his own. Since the counselors are responsible for their entire cabin, they cannot provide constant one-on-one care.
Can parents come along with first-time campers?
Summer camp is a wonderful opportunity for children to experience a first time away from home in a safe, fun environment. While a few parents may attend for specialized needs, we encourage parents to discuss any concerns with their church’s youth leaders. Typically, sponsors are limited to the youth workers of the church.
Do you have gluten free options?
While we do provide a salad bar for adults, we cannot guarantee gluten free options at every meal. We recommend bringing supplemental food for any sponsor or child with serious allergies.
Can we visit during summer camp season?
Please call the office before making any visits during camp season. Overnight accommodations are generally reserved for family of staff and registered guests. However, day visits are typically allowed if you check in at the office for a visitor’s tag and pay for any meals.
Can we call our child during camp?
Campers are not allowed to use their phones during camp, but if there is an emergency, parents may call the camp office.
How can we recover a lost item?
Contact the office with a description of the missing item and we will do our best to track it down. However, keep in mind that Southland only keeps items for 30 days. If we locate the item, you will be responsible for shipping.
How do we know if a week is full?
If you are still able to register online, there should be space left for campers. Full weeks will be clearly marked on the website. Any extra sponsors should check first with the office.
If there is a waiting list, can we substitute a new person for a dropout?
No, any new person must go to the end of the waiting list.
Do we need to register our infant or toddler?
Anyone over the age of two must register and pay separately. Ages three to seven are half price (applied at check-in), and two and under are free. If they are in the free category, parents should still make a note in the comment box.
Can we get a refund for a partial week of camp?
We expect all registered campers to attend the full week of camp. We cannot give refunds to anyone who decides to arrive late or leave early.
How can we apply for a camper scholarship?
Your youth pastor or pastor can contact the office for eligibility details. If eligible, they will be emailed a link to register.
Can we borrow bedding and pillows, if we forgot to bring them?
A limited number of bedding sets are available for a fee.
FALL & SPRING EVENTS
Can we get a refund if we are unable to come to a retreat?
The $25 registration fee is non-refundable and non-transferable. However, if paid in full, the remainder may be refunded if the office is notified within a week of the retreat.
Can we transfer the registration fee to another year if we drop out?
You can switch to another week in the same year (i.e. Ladies’ Retreat #2), however, you cannot transfer to a retreat in another year.
Are pets allowed?
No, in consideration for other guests, and in order to keep our accommodations clean and allergen free, we cannot allow pets on the campsite.
When do we find out where we are staying?
Housing is first come, first served, and your housing assignments (hotel or cabin) will be emailed to your group leader approximately ten days before the retreat.
Do we need to bring bedding or towels?
If you are staying in a cabin, you will need to bring bedding and towels.
How do we know if there are hotel rooms left?
When you register for a retreat, you may select your preference. Your group leader will be notified if the hotel rooms are full and you have been put in a cabin.
Can we reserve spots a year ahead of time?
Now that registrations are entirely online, you may register as soon as the event is open on the website.
What items should we bring to camp?
Many individuals like to bring camp chairs, fishing pools, coolers, books, frisbees etc. If you have young children, you will want to bring a stroller and pack-and-play.
Are there refrigerators available?
Yes, there is a refrigerator in the kitchen and in the sponsor lounge for storing special food or medicines.
How many people can fit in a cabin?
Up to eleven people can fit in a cabin, however, for retreats we normally place six to eight in a cabin.
Can a hotel room be reserved for a single person?
Due to limited space, we can rarely offer single occupancy hotel rooms. However, we may be able to place you in a smaller cabin by yourself.
Can we rent the camp for our own retreat?
We do have a limited number of dates for churches and church supporting organizations to rent Southland’s facilities. Contact the office for more information.
